How we use our own company brain, day to day

Written decisions, prices kept in one place, agents that rely on our rules: how we apply at Synergetik the method we offer.

We do not offer a method we do not apply. Our company runs on a company brain: a single repository, kept every day, which our teams and our agents rely on. Here is how it works, concretely.

A single, versioned repository

Our decisions, our offers, our prices, our rules and our procedures live in one place, in a versioned repository: every change is dated, and you can find which version was authoritative at which time.

We apply a simple rule: one place for each type of information.

  • Lasting knowledge — decisions, offers, rules — lives in the versioned repository.
  • Work in progress — drafts, documents shared with a customer — lives in our office tools.
  • Operational data — sales tracking — lives in a dedicated database.

Nothing is copied from one place to another: we point to the source.

Decisions written down, with their reason

Every structuring decision is written down: what was decided, why, the options set aside, and what would call it into question. Each carries an identifier and a short title, so it can be cited. Six months later, nobody wonders "why did we make that choice?": the answer is written down.

Prices in a single place

Our prices are written once, in our price grid. The website you are reading is generated from it: every time it is built, it checks that each amount displayed appears in the grid, and refuses to build otherwise. So a price cannot be wrong on the website without us knowing.

Agents that rely on our rules

Our internal agents work from the same repository: our principles, our offers, our vocabulary, our editorial rules. Each has its role, its instructions and its limits, written down; an automatic check makes sure their descriptions stay consistent with each other. They prepare; we decide.

Nothing is kept without review

Every change to the repository is reviewed before it is kept. It is the rule we also apply to this blog: no article is published without having been reviewed by a person.

What we take from it for our customers

  1. Start small: a foundation of fundamentals and one domain are enough to begin.
  2. Write things down when you decide: catching up afterwards is expensive.
  3. A single source: two copies always diverge.
  4. An owner: a memory without a lead quickly becomes a forgotten document.
  5. Measure: three months later, is the memory still kept up to date? It is the only test that counts.

No. It is a method and a way of organising knowledge, which we apply to ourselves and set up for our customers, to their measure. What is built for a customer belongs to them.

How much time does it take day to day?

Little, once the habit is formed: write down a decision when you take it, update a rule when it changes. The most expensive thing is not doing it, and paying for it later in searching and contradictions.

Can it be transposed to an SME?

Yes, to its measure: a foundation of fundamentals, a first domain, simple usage rules and a lead. You do not need to write everything down to start.
