Supplier invoices: what an AI agent takes on

Receipt, reading, matching with the order, coding: what an AI agent does with your supplier invoices, with French e-invoicing since 2026.

Processing supplier invoices is one of the best-documented uses of AI in business. The work is repetitive, the rules are explicit, and the gain is measured in minutes. Here is what an agent takes on, and what remains human.

What the agent does

  1. Receive invoices, whatever the channel: email, scanned mail, e-invoicing platform.
  2. Extract the data: supplier, number, date, amounts, VAT rates, due date.
  3. Check: does the matching order exist? Was the delivery received? Is the price right? Has the invoice not already been entered?
  4. Suggest the accounting code, according to your rules.
  5. File the invoice in your accounting tool, awaiting approval if necessary.
  6. Flag discrepancies to the right person, with the details.

Example: a wholesaler receives its invoices by email, by scanned mail and through its e-invoicing platform. The agent reads them, matches them with the purchase order and suggests the code; the accountant only handles the discrepancies it flags.

What remains human

  • Approving discrepancies: a different price, a missing quantity, an unknown supplier.
  • Payment, without exception. The agent can prepare the payment schedule and the transfer file; a person reviews and executes.
  • Disputes with a supplier.

E-invoicing changes the game

Since 1 September 2026, all French companies must be able to receive electronic invoices; large and mid-sized companies must also issue them. SMEs and micro-businesses will have to issue them from 1 September 2027.

For invoice processing, this is good news: the invoice arrives structured, with no document to decipher. But the work does not disappear:

  • matching the invoice with the order and the delivery;
  • checking price discrepancies and duplicates;
  • coding in the accounts;
  • handling rejections and following the statuses of the invoice life cycle;
  • archiving.

What you need to get started

  • Access to the invoice inbox, to your accounting tool and, if possible, to orders.
  • Your rules: chart of accounts, approval thresholds, tolerances for discrepancies.
  • A real sample of invoices, including the difficult cases.

Task or process?

Extracting the data from an invoice and filing it in the accounting tool is a task: a Quick Start is enough. Frequently asked questions

Can the agent pay the invoices?

No. It can prepare the payment schedule and the transfer file; a person reviews and makes the payments themselves. It is a rule without exception.

What about paper or scanned invoices?

The agent can read them, with more precautions: a badly scanned or illegible document is flagged to a person rather than guessed.

Does e-invoicing make the agent unnecessary?

No, it makes its work easier. The invoice arrives structured, but it still has to be matched with the order, discrepancies checked, coded, rejections handled and statuses followed.
